Cancellation and Refund Policy

Cancellation Policy for Heart 4 the Wounded Conference:

1. Cancellation Requests: All cancellation requests must be submitted in writing via email or official communication channels to the Heart 4 the Wounded Conference organizers. Verbal cancellation requests will not be accepted.
2. Refund Eligibility: a. Early Cancellation: Participants who cancel their registration on or before 23 June 2023 will be eligible for a full refund of the registration fee, minus any applicable processing fees. b. Standard Cancellation: Participants who cancel their registration after the early cancellation date but on or before 7 July 2023 will be eligible for a refund of 50% of the registration fee, minus any applicable processing fees. c. Late Cancellation: Participants who cancel their registration after the standard cancellation date will not be eligible for a refund.`
3. Substitute Participants: Participants may request to substitute another person from their organization to attend the conference in their place. Substitute requests must be made in writing and sent to the conference organizers. There may be a processing fee associated with the substitution.
4. Force Majeure: In the event that the Heart 4 the Wounded Conference is canceled or postponed due to circumstances beyond the control of the organizers, including but not limited to natural disasters, pandemics, government regulations, or acts of terrorism, the organizers shall make reasonable efforts to reschedule the conference or provide a suitable alternative. In such cases, participants will have the option to transfer their registration to the rescheduled event or receive a full refund of the registration fee, minus any applicable processing fees.
5. No-shows: Participants who do not attend the conference and do not provide a cancellation request will not be eligible for a refund.
6. Refund Processing: Refunds, if applicable, will be processed within a reasonable time frame after the cancellation request is received and approved by the conference organizers. The refunded amount will be issued via an Electronic Funds Transfer (EFT) to a South African Bank account belonging to the original payer, minus any applicable processing fees.
7. Non-refundable Items: Certain items such as pre-conference materials, merchandise, or additional services purchased in conjunction with the conference registration may be non-refundable, and their costs will not be included in the refund amount.
8. Changes to the Cancellation Policy: The Heart 4 the Wounded Conference organizers reserve the right to modify or update the cancellation policy at any time. Any changes will be communicated to registered participants via email or through official conference communication channels.
